This notice explains how personal data is collected, used and protected when you visit kaczmarekai.com or contact Piotr Kaczmarek regarding AI systems, voice AI, CRM workflows or business automation work.

Last updated: May 2026

The data controller responsible for personal data processed on this site is:

Piotr Kaczmarek
AI Systems Architect · Voice AI & Business Automation
Email: peterskaczmarek@gmail.com
Phone: +48 734 443 065

2. What data is collected

Only data you actively provide and a minimal amount of technical data needed to operate the site:

  • Contact data you submit via forms (name, email, phone, message).
  • Communication content when you reach out by email, phone or messaging tools.
  • Technical data such as IP address, browser type, device information and pages visited (used to keep the service secure and stable).
  • Cookie / local storage entries, where applicable — see section 7.

3. Purpose of processing

Personal data is processed only for clearly defined purposes:

  • Responding to enquiries and managing client communication.
  • Preparing proposals, scoping calls and project work.
  • Operating, securing and improving the website.
  • Meeting legal, accounting and contractual obligations.

4. Legal basis (GDPR / RODO)

Processing is based on one or more of the following legal grounds:

  • Art. 6(1)(a) GDPR — your consent (e.g. non-essential cookies).
  • Art. 6(1)(b) GDPR — performance of a contract or pre-contractual steps you request.
  • Art. 6(1)(f) GDPR — legitimate interests (site security, basic analytics, replying to business enquiries).
  • Art. 6(1)(c) GDPR — compliance with legal obligations.

5. Sharing data with third parties

Data is not sold. It may be processed by carefully selected service providers acting as processors — for example hosting, email delivery, scheduling, CRM and analytics tools — strictly to deliver the requested service and under appropriate data processing terms. Where providers are located outside the EEA, transfers rely on recognised safeguards such as Standard Contractual Clauses.

6. Retention

Personal data is kept only as long as necessary for the purpose it was collected for and for any legal retention periods (e.g. accounting). Enquiry and project correspondence is typically retained for the duration of the engagement and a reasonable follow-up period afterwards.

7. Cookies and local storage

The site uses a minimal set of cookies and local-storage entries. Strictly necessary entries are required for the site to function. Analytics, marketing and preference cookies are loaded only with your explicit consent, given via the cookie banner. You can change your choice any time using the “Cookie settings” link in the footer.

8. Your rights

Under GDPR / RODO you have the right to:

  • Access your personal data and obtain a copy.
  • Request rectification of inaccurate or incomplete data.
  • Request erasure (“right to be forgotten”).
  • Request restriction of processing or object to it.
  • Request data portability.
  • Withdraw consent at any time, without affecting prior lawful processing.
  • Lodge a complaint with the competent supervisory authority (in Poland: UODO).

To exercise your rights, contact peterskaczmarek@gmail.com.

9. Security

Reasonable technical and organisational measures are used to protect personal data, including encrypted transport (HTTPS), least-privilege access to integrations, and secure handling of CRM and communication data. No system can be guaranteed 100% secure, but architecture choices on this site are made with privacy and operational security in mind.

10. Updates to this policy

This policy may be updated to reflect changes in the service, integrations or legal requirements. The “Last updated” date above always reflects the current version.
